Job Duties & Responsibilities:
Acts as receptionist and telephone attendant relaying incoming and interoffice calls
Supports manager and marketing personnel with any administrative needs
Supports marketing personnel concerning scheduling, ACT database management, and coordination of marketing events
Handles meeting planning and maintains staff schedules
Handles and sorts incoming and outgoing mail and packages as appropriate
Handles follow-up verbal and written communications with clients and acts as liaison between the staff and the clients
Responsible for document proof reading and letter composition
Provides backup for report preparation for technical staff
Maintains office files and databases
Assists with coordinating and occasionally attends company-sponsored marketing events
Greets all visitors courteously, determines their needs, and directs them to the proper person and/or office
Assists other departments as requested or assigned
Performs related duties as required
Position Requirements:
Excellent customer service skills to deal effectively with visitors/customers in person and on the phone
High level of proficiency in MS Office (Word, Excel PowerPoint, and Outlook), as well as electronic file management
Must have strong organizational, interpersonal, communication, time management and multi-tasking skills
Excellent writing and proofreading skills
Very detail oriented
Associates degree or equivalent is preferred
Physical Requirements:
Ability to communicate with colleagues and clients
Ability to answer phones
Ability to maneuver around the office
Ability to file folders
Ability to use a computer/keyboard and other office equipment
